Key Responsibilities:

  • Manage the General Manager’s calendar, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations as required.
  • Screen and direct phone calls and distribute correspondence.
  • Oversee daily office operations, including facility upkeep and maintenance of office supplies.
  • Coordinate with vendors and manage relationships with service providers.
  • Ensure a productive and well-maintained office environment that aligns with the company’s standards.
  • Act as a liaison between the General Manager and internal departments, clients, and external partners.
  • Schedule and coordinate internal and external meetings, handling logistics and follow-ups.
  • Support effective communication within the management team and across departments.
  • Assist in managing specific projects assigned by the General Manager, tracking milestones and ensuring timely completion.
  • Provide support in research, data analysis, and preparation of relevant reports.
  • Organize and maintain confidential files and records, ensuring accuracy and accessibility.
  • Prepare meeting agendas, take minutes, and document action points for follow-up.
  • Utilize time management and project management tools to streamline scheduling, task tracking, and reporting.

Qualifications:

  • Education: Bachelor’s Degree
  • Experience:
    • English proficiency at B2 level.
    • 3+ years in an administrative role as an Office Manager or Executive Assistant.
    • Familiarity with time management or scheduling software (e.g., Google Calendar, Microsoft Outlook, or other project management tools) is an advantage.
  • Skills:
    • Excellent organizational and time management abilities.
    • Strong communication and interpersonal skills.
    • High proficiency in Microsoft Office Suite and other relevant software.
    • Strong attention to detail and discretion in handling confidential information.
    • Adaptability and flexibility to handle diverse tasks and responsibilities.
