Key Responsibilities:
- Manage the General Manager’s calendar, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations as required.
- Screen and direct phone calls and distribute correspondence.
- Oversee daily office operations, including facility upkeep and maintenance of office supplies.
- Coordinate with vendors and manage relationships with service providers.
- Ensure a productive and well-maintained office environment that aligns with the company’s standards.
- Act as a liaison between the General Manager and internal departments, clients, and external partners.
- Schedule and coordinate internal and external meetings, handling logistics and follow-ups.
- Support effective communication within the management team and across departments.
- Assist in managing specific projects assigned by the General Manager, tracking milestones and ensuring timely completion.
- Provide support in research, data analysis, and preparation of relevant reports.
- Organize and maintain confidential files and records, ensuring accuracy and accessibility.
- Prepare meeting agendas, take minutes, and document action points for follow-up.
- Utilize time management and project management tools to streamline scheduling, task tracking, and reporting.
Qualifications:
- Education: Bachelor’s Degree
- Experience:
- English proficiency at B2 level.
- 3+ years in an administrative role as an Office Manager or Executive Assistant.
- Familiarity with time management or scheduling software (e.g., Google Calendar, Microsoft Outlook, or other project management tools) is an advantage.
- Skills:
- Excellent organizational and time management abilities.
- Strong communication and interpersonal skills.
- High proficiency in Microsoft Office Suite and other relevant software.
- Strong attention to detail and discretion in handling confidential information.
- Adaptability and flexibility to handle diverse tasks and responsibilities.
